This Privacy Policy explains how TECHSYSTEMS INC. collects, uses, discloses, retains, and protects personal information through techsystems.ca, project inquiries, business communications, and related records. It applies to personal information under the custody or control of TECHSYSTEMS INC. and is intended to support the company's obligations under Alberta's Personal Information Protection Act ("PIPA").

3. INFORMATION WE COLLECT
Depending on how you interact with us, we may collect:
- Contact and business information, such as name, company, work email address, phone number, preferred contact method, and project location.
- Project information, such as requested services, property type, site conditions, estimated data drops, anticipated schedule, and project notes.
- Communications and business records, including material email correspondence, material telephone notes, quotations, agreements, project records, accounting records, warranty records, and legal or insurance records.
- Technical information generated when the Site is accessed, such as IP address, browser or device information, timestamps, requested pages, and security or request-log information collected by our hosting and security provider.
4. PURPOSES FOR COLLECTION, USE, AND DISCLOSURE
We may collect, use, or disclose information only as reasonably required for:
- Inquiry assessment.
- Proposal and quotation preparation.
- Project planning and delivery.
- Customer communication.
- Website and system security.
- Accounting, tax, insurance, warranty, contractual, and legal obligations.
- Maintaining necessary business records.
We do not use inquiry information for marketing or promotional subscriptions without separate consent.
5. CONSENT AND CHOICES
We seek consent where required and provide notice of the purposes for collecting personal information. In some circumstances, consent may be implied when an individual voluntarily provides information for an evident and reasonable purpose. You may withdraw consent, subject to legal or contractual restrictions and reasonable notice. Withdrawal may limit our ability to respond to an inquiry or provide services.
6. DISCLOSURES AND SERVICE PROVIDERS
We do not sell or rent personal information. Service providers may support website creation and deployment, public webpage hosting, domain registration and DNS, security, data storage, business email, telecommunications, and related business operations. OpenAI provides the Sites creation and deployment platform; Cloudflare provides the deployed hosting, security, request routing and logging, and D1 data-storage services; GoDaddy provides domain registration, authoritative DNS, and forwarding for the www address; and Google Workspace provides business email.
Resend, operated by Plus Five Five, Inc., provides transactional email delivery for internal project-inquiry notifications and customer receipt acknowledgments sent from the TECHSYSTEMS INC. notification subdomain. Resend processes recipient email addresses, sender and recipient metadata, message content, delivery events, suppression and complaint information, and related API records as necessary to provide transactional email services. Customer receipt acknowledgments do not include the complete project description or exact project-site address.
A telecommunications provider processes information associated with calls made to our business line.
We may also disclose information to professional advisers, insurers, regulators, law-enforcement bodies, or other parties where reasonably required or permitted by law.
Customer or project information will not be shared with a subcontractor unless an approved project purpose exists, the subcontractor's role is defined, appropriate confidentiality and data-handling terms are signed, and only the minimum necessary information has been selected for disclosure.
7. SERVICE PROVIDERS AND PROCESSING JURISDICTIONS
The jurisdictions listed below are based on provider information reviewed as of August 18, 2026. Provider locations and subprocessors may change, and TECHSYSTEMS INC. will update this policy where a material change affects its privacy practices.
OpenAI provides the ChatGPT Sites platform used to create, publish, host, maintain, and support this Site. Under OpenAI's ChatGPT Sites Terms and applicable data-processing terms, OpenAI and its service providers may process Website Content and Hosted Data, including personal information provided by Site visitors and technical information generated through their use of the Site, as necessary to host, maintain, support, and operate the Site. Applicable hosting providers may also perform security and safety classification of Site pages. Project-inquiry records are stored in Cloudflare D1 as part of the Site's deployed infrastructure.
Depending on actual service allocation, related processing may occur at a Cloudflare data centre closest to the end user and in Australia, Brazil, Canada, Finland, France, Germany, India, Indonesia, Ireland, Italy, Japan, Malaysia, Mexico, the Netherlands, Norway, the Philippines, Poland, Singapore, South Africa, South Korea, Spain, Sweden, Switzerland, the United Arab Emirates, the United Kingdom, and the United States.
Cloudflare provides website hosting, content delivery, request routing, security screening, request and diagnostic logging, and hosted data services. Cloudflare, Inc. is based in the United States and operates a global network. Based on Cloudflare's currently published provider and subprocessor information, related processing or support may occur in the United States, Canada, countries in the European Economic Area, the United Kingdom, Australia, India, Japan, Singapore, the United Arab Emirates, South Korea, Mexico, Malaysia, and Switzerland.
Google provides business-email hosting, delivery, storage, spam and malware filtering, account administration, service maintenance, security-risk detection, and customer-initiated support. Based on Google Workspace's currently published provider and subprocessor information for Google Workspace Core Services, related processing or support may occur in Argentina, Australia, Belgium, Brazil, Bulgaria, Canada, Chile, Colombia, Denmark, El Salvador, Finland, France, Germany, Hong Kong, India, Ireland, Israel, Italy, Japan, Malaysia, Mexico, the Netherlands, New Zealand, the Philippines, Poland, Romania, Singapore, South Korea, Spain, Sri Lanka, Sweden, Switzerland, Taiwan, the United Kingdom, and the United States.
Resend, operated by Plus Five Five, Inc., provides transactional email transmission, delivery processing, delivery-status events, suppression handling, complaint handling, and related email infrastructure for internal project-inquiry notifications and customer receipt acknowledgments. Resend states that its customer and account data, including email metadata, logs, and API records, is stored in the United States. Resend also uses service providers identified in its current subprocessor documentation to support email delivery, hosting, infrastructure, monitoring, security, support, webhook processing, and related operations. Based on Resend’s official subprocessor information reviewed immediately before publication, those applicable subprocessors are located in the United States.
Information processed in another jurisdiction may be subject to that jurisdiction's laws and may be accessible to its courts, law-enforcement bodies, or national-security authorities. 8. RETENTION
TECHSYSTEMS INC. uses the following retention schedule, subject to applicable law, contract, insurance, warranty, dispute, or legal-hold requirements:
- Quick inquiries that do not become projects: 12 months after last activity.
- Unsuccessful quotations and detailed requests for quote: 24 months after last activity.
- Records reasonably required to administer an awarded project and support contractual, financial, accounting, insurance, warranty, dispute-resolution, project-closeout, and legal obligations: 7 years after project completion, or longer where required by law, contract, insurance, warranty, dispute, or legal hold. Information that is no longer reasonably necessary may be deleted or anonymized earlier where appropriate.
- Relevant financial, accounting, and tax records: generally 6 years from the end of the last tax year to which the records relate, subject to applicable Canada Revenue Agency rules and exceptions. This period does not apply to all personal information.
- Direct email correspondence: according to the category of the related inquiry, quotation, or project.
- Telephone notes: only material written notes are retained, according to the category of the related record.
TECHSYSTEMS INC. periodically reviews retained records. When information is no longer reasonably required for a business or legal purpose, it is deleted or anonymized in accordance with the company's retention practices and the capabilities of the systems in which it is maintained.
9. SAFEGUARDS
We use administrative and technical measures intended to protect personal information against unauthorized access, collection, use, disclosure, copying, modification, disposal, or destruction. Measures are selected in light of the sensitivity, amount, format, and location of the information. No internet transmission or storage system can be guaranteed to be completely secure.
10. WEBSITE LOGS, COOKIES, AND ANALYTICS
The Site does not currently use non-essential analytics or application-created cookies. Our hosting and security provider may generate request, diagnostic, and security logs, and may use technical mechanisms necessary to operate and protect the Site. We do not use information submitted through the inquiry forms for advertising profiles or marketing subscriptions without separate consent.
11. ACCESS AND CORRECTION
You may make a written request to access personal information about you under our custody or control or to obtain information about its use or disclosure. You may also make a written request to correct an error or omission in your personal information. We may verify your identity before processing a request and will avoid retaining unnecessary copies of identity documents.
For a written access request, we will search relevant systems, review responsive information, and respond within the period required by applicable law, generally within 45 days unless a lawful extension applies. Access may be withheld or information may be redacted where permitted or required by law, including to protect another individual's personal information, privileged information, confidential commercial information, or safety.
Correction requests will be handled as soon as reasonably possible. If a requested correction is not made, we will document the request and decision as required. Send access or correction requests to the Privacy Contact in section 2.
12. PRIVACY INCIDENTS
TECHSYSTEMS INC. maintains a written incident-response procedure addressing identification, containment, evidence preservation, assessment, risk of harm, internal documentation, legal and insurance escalation, notification, corrective action, and closure. Where an incident presents a real risk of significant harm to an individual, TECHSYSTEMS INC. will notify the Office of the Information and Privacy Commissioner of Alberta as required. Individuals will be notified where required by the Commissioner or applicable law.
13. THIRD-PARTY LINKS
The Site may contain links to third-party websites. Their privacy practices are governed by their own policies, not this Privacy Policy.
14. CHANGES TO THIS POLICY
We may update this Privacy Policy to reflect changes in our practices, services, or legal obligations. The revised policy will be posted on this page with an updated effective date.
